Employing Casual Workers
The University engages ‘casual workers’ via the 3rd party service, ‘Reed Talent Solutions’, which performs right-to-work checks, recruits workers and creates timesheets for payment.
Please follow the process below to recruit casual workers, referring to our Casual Worker Recruitment & Payment Flowchart [PDF 181.06KB] for guidance.
IMPORTANT:
Before any work takes place, please contact the Senior Operations Manager or the Head of School Coordinator to confirm the employment and payment process for your particular situation to avoid any delays to the worker receiving payment. Please also seek the approval your Head of Department or Head of School before making any final arrangements.
For the following roles, workers should send us an invoice or complete the invoice template
- Guest lecturer / Guest speaker / Workshop facilitator
- Experts by Experience
- External Examiners
- External Research Advisors
- School mentors claiming supply cover i.e. assisting with interviews
- External academics supporting specialist marking/assessment
Postgraduate Researchers doing any teaching require a doctoral tutor contract to be set up before they can commence teaching.
For other types of casual worker - for example Student Ambassadors, Research Assistants, etc - please complete the and provide the information required. It is very important that the form is filled in before any work takes place as Reed will need to complete right to work checks for the individuals and it is vital they have as much notice as possible (at least one week).
If you are planning to engage an external individual or company to provide a service (for example editing services, web design, sound editing or transcribing, for yourself or as part of a project) they may be subject to IR35 checks which can delay payment if not confirmed before work commences, therefore please check with the Senior Operations Manager before any work starts, to confirm the process.
